Office Coordinator


This position will provide general support for World Federalist Movement (WFM) and office in New York, through administrative and logistical support. In these capacities, the OC reports to those responsible for the various projects, as appropriate, under the overall direction of the Executive Director and the Financial Officer, under the advice of the WFM and CICC program directors. The position as described below may be subject to changes as the New York Office develops.

Office Maintenance

Greet and direct office visitors at the office entrance

Monitor levels of office supplies, office maintenance, letterhead, and business card requests and place supply orders in coordination with Program Assistants and other staff on a bi-monthly basis

Answer general phone lines

Handle internal mail distribution to individuals

Coordinate office publications stuffing and mailing

DHL/Fedex/Messenger Service oversight, Post Office trip coordination, UN and mission delivery coordination

Improve and maintain filing system

Oversee conference room schedule

Plan and prepare staff meetings, events, lunches, birthdays, goodbye parties, receptions, special events (10th anniversary) etc. in coordination with the Program Assistants and other staff

Help to maintain the professional appearance of the WFM offices, including the common areas of the kitchen, copier room, and back room in cooperation with others. Organizing clean-up days



Office Liaison

Manage tenant relations with building, Equipment Maintenance (Faxes, Copiers, Printers)Liaise with equipment contractors, office vendors (Konica, Pitney Bowes, Apple Direct, Poland Springs, Insurance Brokers, etc.) Renew contracts as needed and review prices as requested

Prepare purchase orders, payment requests, and allocate invoices for office supplies and equipment

Coordinate internship program, liaising with intern supervisors, updating internship manuals, creating and circulating general intern orientation, coordinating intern schedule and seating, and compiling a list of work plans and introductions

Purchase and coordinate distribution of holiday cards



General Duties

Provide general administrative and clerical assistance

Assist the Financial Officer with Blackbaud conversion

Oversee petty cash

Other duties as assigned



Additional Qualifications

Valid United States working permit

Bachelor’s Degree, and 1-2 years experience strongly preferred

Must be organized and detail oriented

Ability to interact with government officials, NGOs, and intergovernmental organizations with tact, diplomacy and sensitivity

Ability to handle confidential information appropriately

Must have excellent interpersonal communication skills and an out-going personality

Ability to work independently with minimal supervision, as well as in a team environment

Skilled at prioritizing and completing multiple tasks

Fluency in English, with strong preference for candidates with dual language proficiency

Good word processing, spreadsheet skills are required

Candidates should be interested in international human rights and international issues
